FAQ: Employee Education Program

What is the Employee Education Program, or EEP?

The Employee Education Program, or EEP, is an opportunity funded by university resources that enables full-time UF Academic Personnel, TEAMS employees, and USPS employees who have been employed for at least six months to receive tuition assistance for up to six credit hours of instruction per semester at the state university closest to their work location. TEAMS employees may also attend classes at a public community or state college closest to their work location.

Do I have to apply for admission to the University?

Yes, the UF admissions process for employees is the same as for any other student. You must ensure that you followed all necessary procedures for admission as a degree-seeking or non-degree seeking student. It is suggested that you meet with an Admissions Officer and an Advisor in the college where you are interested in taking classes before enrolling.

Where do I find the EEP application?

Employees must select the link for the school of attendance; UF, Santa Fe College, or Outside Alachua County on the Employee Education Program Homepage to access EEP online applications. EEP participants are responsible for verifying the program policy, eligibility criteria, application submission and approval deadlines, and course registration guidelines, before submitting the online application.

How do I obtain permission to participate?

The EEP application requires supervisor and department chair or director signatures. It is up to the employee’s supervisor/department chair to determine the number of credit hours, up to six, for which an employee may register under this program each semester. Participation in the EEP is neither a benefit of employment nor a guaranteed right. The employee’s supervisor/department chair also must certify that the employee meets the employment requirements for participation and that the time used is covered by appropriate leave or schedule adjustment.

When may I submit my application to participate in the EEP?

Participants should submit EEP applications as soon as they have complete course information available for the intended semester. There are not restrictions for early application submission.

For UF, Santa Fe College and other community colleges and state universities: Each semester, you must submit the appropriate online Employee Education Program Application for your school by the established semester deadlines at: https://learn-and-grow.hr.ufl.edu/education-programs/employee-education-program/.

How will I know if my supervisor approved my EEP application?

Once you submit your online application, your EEP request will be forwarded electronically to your manager and director for their review and online approval.

Based on the participant’s supervisory reporting structure, participants will receive confirmation emails for their manager’s approval, “Your EEP Application Manager Approved” and director’s approval, “Your EEP Application Director Approved” from OnBase-noreply@ufl.edu.

All EEP participants must receive approval by the director approval deadline for coursework to be paid for by this program. EEP applications will not be considered for funding until the application has been approved at the director level.

If you do not receive a confirmation after your manager/director approves your application, you must contact eep@admin.ufl.edu for assistance.

What fees are covered by the EEP?

Under the EEP, the university is responsible for the payment of matriculation fees, building fees, capital improvement fees, and student financial aid fees. The university is responsible only for the in-state portion of the student financial aid fees. The employee is responsible for paying any additional fees including, but not limited to, application fees, out-of-state tuition and fees, photo I.D. fees, late registration fees, late payment fees, distance education fees, material and supply fees. Please note that some material and supply fees can be significant. You may want to determine what these are for your courses of interest before you register.

How do I know if a course I’m interested in taking is covered by the EEP?

  • UF: To determine if the course you wish to take is approved for the EEP, visit the Schedule of Courses page at http://www.registrar.ufl.edu/soc/. The program does not permit enrollment in thesis, dissertation, internships, directed individual study, individual performance courses, non-credit courses, sponsored credit programs, off-book programs, and some distance education course offerings.
  • SFC: As long as your department approves the course and it is taken for college credit, it will typically be available through the EEP.
  • Other community/state colleges and state universities: Eligibility is determined on a case-by-case basis and in the case of state universities, must be certified on the EEP application form by the appropriate university registrar.

If I have to withdraw from a class that I am taking under the EEP, may I continue to participate in the program?

In order to continue participating in the EEP, employees must achieve a passing grade in all courses taken through this program. Designations such as withdraw (W), incomplete (I), or failing (F) will not satisfy the requirements of the EEP. The reinstatement procedures are discussed in further detail in our EEP policy.
