Careers at UF is the system to create and manage electronic job postings at the University of Florida. This toolkit provides resources to assist departmental staff when creating/approving a job requisition, reviewing applicants in the system, using the available reports to analyze applicant trends in individual departments, and to find and view postings among many others.
For Hiring Managers
In addition to the recruitment checklists found in this toolkit, the UF Leadership Toolkit features additional recruitment resources for hiring managers such as “How to Write an Effective Job Posting” and “Behavioral Based Interview Questions.” These and other resources are aimed at supporting hiring managers in conducting effective and productive recruiting efforts and can be found in the Cultivate Talent section.

Accessing Data Per Requisition
EEO Reporting
EEO data is collected pre-hire on all applicants in order to meet regulatory requirements and is voluntary on the part of the applicant. To ensure compliance with EEOC guidelines, demographic data is kept separately from an application as an applicant proceeds through the hiring process. Selection, hiring, and promotional decisions should not be based on this data. However, this data may be used post-hire to evaluate the success of strategies that contribute to a more diverse work environment.

Source Reporting
Applicants are attracted to our jobs from multiple channels. It’s important to note which channels are working and which need less time and attention. With every requisition your college or unit has open, a source report will let you know how many candidates are coming from each source and where competitive candidates are learning about your openings.
If you have invested in a channel that is severely underperforming, then you have the justification you need to adjust in your advertising strategy, and the same goes with the opposite. You can focus more time on the sources that are yielding a diverse pool of highly competitive candidates.

Recruitment Checklist – TEAMS PDF
Training
To register for online courses in myTraining, navigate to mytraining.hr.ufl.edu. From the myTraining Dashboard, you can search for courses using the Activity Search field in the upper left hand corner. Just type the course name, course ID or a keyword and then click Search.
After you’ve registered for training, your current enrollments display in the Training list found on the Dashboard page. To begin an online course, click the green Start button.
You can also access myTraining from myUFL using the following navigation:
Main Menu > My Self Service > Training and Development > myTraining
PST098 Careers at UF: Staff & Students
This course covers the Careers at UF job requisition system that departments at UF use to post positions online for hire. Learn how to create and process job requisitions for your department. Understand approval workflow and how an applicant uses the system to search for jobs and submit applications.This is a required course for those who will need to request the roles of UF_N_JRQ Department Req Orig (Originator) or UF_N_JRQ Department Req Appr (Approver). Individuals who will be Originators in Careers at UF must complete PST098 Careers at UF before requesting the Originator or Approver role in myUFL. The individuals who typically serve in the Originator or Approvers roles are department administrators, administrative assistants, and office managers.
PST099 Careers at UF: Faculty & Postdocs
This course covers the Careers at UF system that departments at UF use to post faculty and postdoctoral associate positions online for hire. Learn how to create faculty and postdoc positions for your department. Understand approval workflow. Learn how to manage the position and make necessary edits. This is a required course for those who will need to request the roles of UF_N_JRQ Department Req Orig (Originator) or UF_N_JRQ Department Req Appr (Approver). It also is required for individuals who need to be assigned the special role of Committee Manager in the system.
Security Roles
For all Careers at UF actions* you need the following security roles:
- Either
- The Originator security role: UF_N_JRQ Department Req Orig
- Or
- The Approver security role: UF_N_JRQ Department Req Appr
* Exception: for approving requisitions you must have Approver security role – UF_N_JRQ Department Req Appr
Please note you must complete the PST098 Careers at UF: Staff & Students and PST099 Careers at UF: Faculty & Postdocs class before you can receive security to become an Originator or Approver.
